Meeting to Action

Meeting notes are not a transcript of who said what; they capture decisions and action items. This skill connects the pre-read, in-meeting capture and post-meeting follow-up.

Workflow

  1. 1

Write the decision list before the meeting

Put the one to three decisions to be made, the options and the decision-maker in the invite. If there is no decision, move it to async communication.

  2. 2

    Capture only decisions and actions

Use AI transcription as a draft, but keep only what was decided, why, who owns it, when it is due and dependencies. Discussion history can be removed.

  3. 3

    Send within two hours

Start action items with verbs, assign exactly one owner and use a specific due date. Mark decisions needing confirmation as “pending” instead of pretending consensus.

  4. 4

Close the loop at the next meeting

Open the next meeting with last meeting’s action items: done, delayed or canceled, with reasons. Re-evaluate priorities for repeatedly delayed items instead of rolling them forward.

FAQ

Can AI transcription replace notes?

No. Transcription is raw material; notes require judgment. A human must extract decisions, owners and deadlines, or it is just noise in another format.

What if there are too many meetings?

Classify by whether a real-time decision is needed; move the rest to document comments. Keep meetings only with explicit decisions and time limits.
