Brand Voice System

Brand voice is not a list of adjectives; it is a set of decision rules: which words are allowed, which jokes are off-limits and how to communicate bad news. This skill produces a voice manual that plugs directly into the writing workflow.

Workflow

  1. 1

    Collect real language samples

Collect 20-30 existing samples: website, support replies, social posts, emails and error messages. Mark which sound like the brand and which sound templated, then identify shared traits and what must change.

  2. 2

    Define voice coordinates

Place the brand on four axes: formal-conversational, restrained-enthusiastic, expert-peer, serious-playful. Give each a 1-5 score and one behavioral explanation instead of unactionable phrases like “approachable”.

  3. 3

    Build lexicon and syntax rules

List preferred words, banned words, replacements and sentence patterns. For example, replace jargon with “helps you do X”; start headlines with verbs; error messages should say what to do before why it happened.

  4. 4

Calibrate with positive and negative examples

Write two good and two bad examples for each scenario so new team members can judge before writing. Re-test quarterly with real content and update the manual when the voice drifts.

FAQ

Do small teams need a voice manual?

Yes, but one page is enough: four voice axes, ten banned words and six examples. Expand when the team grows.

Will a voice manual limit creativity?

A good manual constrains inconsistency, not creativity. It sets the floor and leaves creativity for the places that need differentiation.
